Conference Services

For over 50 years, AIBS has been meeting the needs of scientific professionals through the services offered by our Conference and Meeting Services Department. From informal gatherings of 10 or more, to convention-based meetings of over 3,000 scientists, Conference and Meeting Services can provide complete logistic and facilitation support for your organization's needs.

At an AIBS-facilitated conference or meeting, we make sure even the smallest detail is taken care of so you can carry on with your purpose — to share, provide, and disseminate information.

The Meeting You Need

When contracting Conference and Meeting Services you'll be working with a group of talented individuals with one goal in mind — to ensure the best possible meeting for your organization. You tell us your needs — we make it happen, relying on 50 years of experience with scientific meetings to help along the way.

AIBS can facilitate meetings and conferences throughout the entire US, and also internationally. We can provide support for one-day events or two week meetings or conferences and can often provide a variety of services with minimal advance notice. We'll help design and disseminate your meeting literature, including Internet-based support, and once at the meeting we can provide the complete range of audio visual and technical support — from overhead projectors and laser pointers to T1-connected computer networks.

Notice about registering international meetings...

Is your organization organizing an international meeting in the United States? That is, are you expecting any of the attendees at your U.S.-based meeting to be traveling from outside the U.S.? The National Academies are now registering international scientific meetings with the State Department. See the Public Policy section of this website to learn how to register your meeting to avoid visa problems.

PLAN AHEAD! Foreign meeting attendees need to apply for their visas no later than 3 months in advance. Meeting organizers are advised to send invitations to foreign attendees no later than 3 months before the scheduled meeting.
